JOB ANNOUNCEMENT: ADMINISTRATIVE SECRETARY, NOFA-NY

NOFA-NY is seeking a full-time Administrative Secretary, to begin April
1, 2000, starting at $18,000 - $20,000 per year, depending on
experience. Location is undetermined but is most likely to be in the
Admin. Secretary's home or in a newly established office in the
Cobleskill area or possibly elsewhere. The Administrative Secretary
works under the direction of the executive director and Governing
Council. Duties include:

Bookkeeping: maintenance of the books for NOFA-NY (in QuickBooks):
responsible for paying bills, making bank deposits, balancing accounts
monthly, financial reports to the executive director and treasurer of
NOFA-NY, collecting annual financial reports from NOFA-NY’s local
chapters, preparing the books for annual audit by a professional
accounting firm.

Database management: maintenance of the membership database of NOFA-NY
(in FileMaker Pro): mailing of monthly renewal and lapse notices,
processing new memberships, providing mailing labels quarterly to The
Natural Farmer and NOFA-NY’s newsletter, providing updated membership
information to NOFA-NY’s local chapters. Supplying NOFA-NY’s mailing
list to the Summer Conference, etc.

Information requests: Responding to requests for information via mail,
e-mail, and telephone re: NOFA-NY events, farm internships
opportunities, NOFA-NY’s certified farms, sources of organic food,
organic agriculture in general.

Inventory: maintaining NOFA-NY’s inventory of items for sale: filling
requests for and keeping track of items sent to chapters and individuals

for sale at events, handling mail orders to NOFA-NY, reordering stock,
annual reconciliation of inventory for the audit.

Project management for some projects and providing staff support for
NOFA-NY's projects, which are otherwise staffed by part-time employees
and volunteers.

Attending all Governing Council meetings, mailing draft minutes to
Council members in a timely manner, taking amendments to minutes and
making official corrected copies for the files. .

Providing staff support for NOFA-NY events: publicity, mailings, filling

information requests. Providing materials for (and sometimes staffing)
NOFA-NY information tables at other organizations’ events (e.g. the NY
Farm Show, NYS Vegetable Growers Assoc. conference, etc.)

Qualifications Desired:
Well-organized and self-motivated individual with good interpersonal and

verbal skills. Good computer skills: data management, financial
programs, word processing, e-mail. (Experience with Windows, FileMaker,
QuickBooks, Microsoft Word a definite plus.) Good working knowledge of
organic agriculture, familiarity with related issues like food safety,
etc.
Willingness to travel occasionally and work some weekends.
