Office Manager Position Announcement
The Food Alliance is seeking an Office Manager to handle its day-to-day
operations and insure that the infrastructure of the organization is in good
health. Reporting directly to the Executive Director, the Office Manager is
responsible for human resource issues such as benefits and scheduling as
well as computer systems and office supplies. It is the Office Manager’s job
to see that present procedures run smoothly and to evaluate those procedures
or systems and replace them if necessary.
Responsibilities include:
Internal Systems: The Office Manager is responsible for seeing to it that
all of TFA’s internal systems are adequate to the job and that they are cost
effective. S/he will evaluate all current systems and procedures and bring
them up to standards agreed upon by the Management Committee. This includes,
but is not exclusive to, the phone system, the computer network and support,
software inventory, procedures for mailings, etc. S/he will be responsible
for insuring that all tools are available for the staff: office supplies,
postage meter, fed ex service, etc.. S/he must be proficient enough in
current computer hardware and software (Microsoft Office, FileMaker or EBase
database software) to use them to troubleshoot for staff.
Employee Benefits and Payroll: The Office Manager, in consultation with the
Management Team, is responsible for insuring that the employees benefits
package is cost effective, gives good service and is competitive with other
organizations. S/he also is responsible for payroll and tracking employee
leave including comp time.
Work Flow: The Office Manager will facilitate work flow issues in the office
and will be responsible for maintaining the master schedule. It will be the
OM’s job to track big projects and bring on temps or volunteers as needed.
S/he will monitor staff vacation plans to assure that the office is not
understaffed at any time. The OM will also support managers in development
of annual plan and budget.
Board Support: The Office Manager is responsible for coordinating quarterly
Board meetings including site selection, arranging meals, and Board and
staff travel. S/he is responsible for attending Board meetings, taking notes
and preparing the minutes of the meeting for the Board. S/he is also
responsible for coordinating all mailings and reports to the Board.
Public Relations: The Office Manager is likely the first person the public
encounters when approaching The Food Alliance. As such s/he informs the
public’s first opinion of TFA and will be responsible for presenting a
welcoming, competent impression of TFA whether on the phone or in person.
QUALIFICATIONS
This position requires a person of formidable organizational skills, capable
of juggling a dozen things at once with maturity and patience. The job
encompasses a range of responsibilities from answering the phones to
developing and tracking budgets for the office and requires excellent
judgment, an abundance of creativity and a sense of humor. The right person
for this job will have had several years’ experience as an office manager
and will be looking for a challenge. Strong communications skills, both
written and spoken, are essential.
This is a full-time position and compensation is competitive and
